Z Home Care (Green Z Corp.) is committed to protecting the privacy of the seniors, families, and caregivers who trust us. This policy explains what personal information we collect, how we use it, and the rights you have under Canadian privacy law.

1. Who we are

Z Home Care is the operating name of Green Z Corp., a Newfoundland-registered company with a registered office at 57 Allandale Rd, St. John's, NL. We provide private-pay home care services (homemaking, personal care, companion care, dementia care, respite, and home-after-hospital support) across the Northeast Avalon.

2. Laws that apply

We handle personal information in accordance with:

  • The Personal Information Protection and Electronic Documents Act (PIPEDA), the federal Canadian privacy law that applies to our commercial activities.
  • The Personal Health Information Act (PHIA) of Newfoundland and Labrador, which protects personal health information collected by custodians and their agents.
  • Any additional obligations we assume by contract with clients, families, or third-party payers.

Although HIPAA is a U.S. law and does not apply to Canadian companies, we align our safeguards with equivalent healthcare privacy expectations for peace of mind.

3. Information we collect

We only collect information that is reasonably necessary to provide safe, appropriate home care. Depending on your interaction with us, this may include:

  • Identifying information: name, address, phone, email, emergency contacts.
  • Health information: medical history, medications, mobility, cognitive status, allergies, care preferences, and other information needed to develop a safe care plan.
  • Family & substitute decision-maker information: the contact details and relationship of anyone you authorize to speak with us on your behalf.
  • Caregiver applicants: resume, work history, certifications, references, driver's licence status, and information collected during interviews.
  • Website use: pages viewed, device/browser, approximate location, referring URL, and interactions with our forms. See our Cookie Policy.
  • Communications: the content of emails, form submissions, and phone conversations related to your care.

4. How we use your information

  • To assess care needs and prepare a personalized care plan.
  • To schedule visits, match caregivers, and coordinate with family members you authorize.
  • To communicate with you about care, changes, invoices, and safety updates.
  • To meet legal, regulatory, insurance, and accreditation obligations.
  • To improve our services, train our team, and maintain quality of care.
  • To evaluate caregiver applicants and manage employment relationships.

We do not sell your personal information. We do not use your health information for advertising.

5. Consent

We collect and use personal information with your consent, or the consent of your substitute decision-maker where applicable. Consent may be express (a signed care agreement) or implied (contacting us to request information). You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice — this may affect our ability to continue providing care.

6. Who we share information with

We share personal information only when it is needed to deliver care, meet a legal obligation, or with your consent. This may include:

  • The caregivers assigned to your care plan.
  • Physicians, pharmacists, or hospitals when coordination is needed and you have consented.
  • Family members or substitute decision-makers you have authorized.
  • Service providers who help us operate our business (e.g. secure IT hosting, scheduling software, payment processors) under written confidentiality obligations.
  • Regulators, insurers, or law enforcement where required or permitted by law.

7. Where information is stored

Personal information is stored on secure systems located in Canada wherever practical. Some of our service providers may store or process data outside of Canada; in those cases, the information becomes subject to the laws of the jurisdiction where it is stored. We contractually require providers to protect the information with safeguards comparable to those in Canada.

8. Safeguards

  • Written confidentiality obligations for every caregiver and staff member.
  • Role-based access — team members only see the information they need.
  • Encryption of data in transit (HTTPS/TLS) and, where available, at rest.
  • Secure passwords, multi-factor authentication on administrative accounts, and regular access reviews.
  • Locked physical storage for any paper records, with retention limits.
  • Incident-response procedures and breach notification consistent with PIPEDA and PHIA.

9. How long we keep information

We retain client and health records for as long as required to provide continuous care, meet professional and legal record-keeping obligations, and defend against potential claims. Caregiver application records for unsuccessful applicants are kept for up to 12 months and then securely destroyed unless you ask us to keep them longer.

10. Your rights

  • Access the personal information we hold about you.
  • Ask us to correct information that is inaccurate or incomplete.
  • Withdraw consent (subject to legal and care-continuity limits).
  • Make a complaint about how we handle your information.

11. Children

Our services are directed to adults. We do not knowingly collect personal information from children under 13 without parental consent.

12. Changes to this policy

We may update this policy from time to time. The date at the top will reflect the most recent revision. Material changes will be highlighted on our website.
